Authorization page

The final page, Authorization, shows a summary of the write-up information for final review.

Start by reviewing all of the customer and vehicle information plus the selected services.

On the right of the page, services can be deleted, line comments edited, pay types changed and (if enabled) line prices adjusted.

Note the following:

  • To add a service, you need to return to the appropriate Services tab.
  • If discounts are enabled, you will not be able to manually change a service's price. You must use discounts instead.
  • If a recall is deselected on this page, the Deferred Recall survey appears as described on the Concerns page.
  • If a Symptom Survey is associated with the concern, it is indicated under the service line. The survey can be reviewed, edited or deleted if requred.

 

(If discounts are enabled at your dealership)

Click the "Discount" icon beside a selected service to add a discount to the line item. The Add Customer Discount window appears:

  1. Enter the discount number Amount.
  2. Select the discount Type ($ or %).
  3. Click "Apply" to apply the discount.
    • The discount is calculated and deducted from the total.
  4. Click "Remove" to remove a previously entered discount if needed.

Note: If a line discount is entered when there is already an overall discount set up, the overall discount will be removed. A warning message will appear first, asking for confirmation.

 

(If discounts are enabled at your dealership)

Use the section at the bottom of the page to setup an overall discount as described below.

Note: If an overall discount is entered when there are already line discount(s), the line discount(s) are removed. A warning message appears first, asking for confirmation.

  1. Enter Amount and select Type (% or $).
    • Note that the discount can only be applied to 'All Services' at this time.
  2. Enter a comment to accompany the discount, for example the coupon used. The comment will show on the pre-service write-up report, under general comments.
  3. Select to apply the discount to Parts prices, Labor prices, or both. If both are selected, the discount will be applied evenly to parts and labor.
  4. Click "Apply To All" to apply the discount.
    • The discount is calculated and deducted from the total price.
  5. Click "Remove From All" to remove the discount if needed. A confirmation message will be shown. Click "OK" to confirm.

Note: The dealer administrator can set limits to the discounts, restrict the discount type or disable discounting completely. Contact Client Support for assistance.

 

The quote should be generated for the customer from this page. While the maintenance menu provides guidance on the services, the service quote provides detailed information on the exact selections for that service visit.

There are two types of quotes you can generate:

  • a quote for the customer
  • an internal quote including parts information to be used by dealership personnel

Click "Quote" and the Generate Quote window appears:

Next to Saved Customer Service Quote, click "Show" to see the quote for your customer, as in the following example:

 

Next to Save Internal Service Quote, click "Show" to see a quote to be used internally at the dealership. This quote shows the pay type, labor hours, part numbers, part quantity and line pricing, making it easier to communicate internally what is needed to complete the Repair Order, as in the following example:

 

Click "Menu" to generate the VIN-specific maintenance menu for the vehicle. Refer to The maintenance menu for more information.

Note: To select what to include on your menu, go to the Menu Options subtab and change the dealership default options as described on the Services page.

 

To obtain the customer's signature, click beside Signature. The authorization pop-up appears:

The customer can sign the electronic version of the RO on a tablet using pen or finger, or the advisor can make a mark in the field then print off the pre-write-up report for a hard-copy signature.

Once the signature is obtained, click the checkmark .

 

Click "Complete" to push the RO The following window appears:

This window provides confirmation that RO has been pushed successfully and all the write-up information sent to the DMS. Promise delivery time will be automatically recalculated if there has been a delay since it was set on the Assign R.O. page. Check the time and let the customer know.

Note: A progress list can be opened that shows the status of the other push-related items such as the Maintenance Menu, symptom surveys.

If there are any errors or warnings such as a missing required field, a message appears. The write-up will need to be fixed before the RO can be completed.

The window includes links to the various documents associated with the RO so they can be reviewed, printed or emailed to the customer, including:

  • Maintenance Menu: As described in the Maintenance Menu.
  • Pre-Service Write-Up: The pre-service write-up details of the RO including the customer's signature.
  • Inspection Report: A copy of the inspection report created during the walk-around.
  • Parts Pick List: A list of the parts required for the service as shown next. The advisor can give the list to the parts department to expedite work on the vehicle.
  • Any completed symptom surveys are also listed.

 

When you have finished reviewing the information in the window, click "Back To Search". You will be returned to the Advisor Check-In Search page.
